How can I backup user data before deactivating an account?
Before deactivating and deleting an Xcentric Cloud user account, you should determine whether there is any user data that should be backed up before the account is deactivated. The user data for an account consists of the user's email contents and the user's U: drive contents. Following are the overall steps to backup the user data.
Backing up user data
- Login to Account Center as an administrator and change the user's password to a known password.
- Login to the Xcentric Cloud network using the user account and new password.
- Open File Explorer and review the contents of the user's U: drive. Copy the desired contents from the U: drive to an appropriate location on your firm’s shared drive.
- Open Outlook and backup the contents of the user's mailbox to a PST file. Store the PST file in an appropriate location on your firm’s shared drive. For details on how to create a PST file and archive email, see the article How do I archive email to a PST file.
Once you have completed the steps above, you can then deactivate and delete the user account.
