How can I add, delete, enable, disable, or change an Xcentric Cloud user account?

Option 1 (real-time)

Account administrators may add, delete, enable or disable Xcentric Cloud user accounts in real-time through the Account Center.  See “Managing User Accounts in Account Center” below for more information.  Video tutorials are also available inside Account Center for many of these topics.

Once a user account has been modified in Account Center, we will receive notification and your billing will be adjusted as necessary.  You will save as much as $250 per user on setup when you create the user through Account Center rather than the legacy method below.  Please refer to your agreement for more details on billing.

Option 2 (up to 36-hours)

If you prefer that we manage the users on your behalf simply use the Cloud User Management page to submit requests for adding, deleting, enabling or disabling Xcentric Cloud users. This page may also be used for name changes of users who have married. 

This legacy option may require up to 36-hours to process account setup and configuration. Completing the Cloud User Management request will create a helpdesk ticket and you will be provided a receipt via email to monitor progress. Should additional information be needed to complete your request(s), we will contact you via the contact information we have on file.

Managing User Accounts in Account Center

New User: Select this option on the left side of the page in Account Center to create a new user. If you’re creating a user that will have similar group membership and application access as an existing user, you may consider using the Copy User option described below.

Click on a user account in Account Center to view the list of the User Functions available to you as an account administrator. Account management functions are detailed below.

Copy User: Select this option to create a new user account from a copy of an existing account. Membership details, properties and services from the existing user account will be applied to the new account.

Disable: Select this option to disable a user account. Once the account is disabled, the user will not be able to log into the Cloud network. The user account will be billed through the end of the current month.

Please note: Existing email messages, contacts, calendar appointments and user data will remain intact while the account is disabled; however, the account will not receive new email messages or be enrolled in supplementary email services such as anti-spam or archiving. These services will be enabled when the account is reactivated. Historical email archives and spam quarantines will not be retained.

Enable: Select this option to enable a disabled user account. Once the account is enabled, the user will be able to log into the Cloud network.

Please note: Supplementary services, such as anti-spam and archiving, may take up to 24 hours to activate.

De-Activate: Select this option to de-activate a user account. Once an account has been deactivated, you can remove the deactivated account from Account Center by using the delete option.

WARNING: Once the account is deactivated, the user will not be able to log into the Cloud network and all email, calendars, contacts, and user data will be deleted. The user account will be billed through the end of the current month. Company data and third party application data will not be affected.

Please note: You will need to backup any data you wish to retain related to this account before deactivating the user. All email, calendars, contacts and user data will be deleted as the deactivation process completes. Delete: Select this option to remove a deactivated account from the list of user accounts in Account Center. In order to delete the user account, you must first deactivate the account.

Impersonate: Select this option to navigate through Account Center as if you were logged on as the specified user.
